To protect the candor and privacy of IRI member discussions, IRI members and any outside third parties are prohibited from recording, transcribing, or capturing IRI meetings and events by any means. This includes, but is not limited to, AI notetakers or meeting assistants, transcription services, video recording, and audio recording. 

IRI meetings rely on members speaking openly, including sharing views that may be preliminary and not yet final positions. Recording or transcription, even for personal use, creates a permanent record that can be misattributed, taken out of context, or shared beyond the context of the discussion, undermining that openness. Members should have a reasonable expectation of privacy and that what is said during an IRI meeting stays within the context of the discussion itself and not in a saved file or transcript. 

The only exception to this policy is IRI staff, who may record or transcribe meetings solely for the purpose of preparing meeting minutes and capturing key takeaways. Any such recordings or transcriptions are for internal staff use only and will not be shared outside of the IRI staff. IRI members will be notified prior to the start of any IRI meeting or event that it will be recorded and/or transcribed and given the opportunity to decline participation. 

This policy applies to all event formats, including in-person meetings, conference calls, and virtual meetings, and applies regardless of whether the tool is built into the meeting platform or used separately.  Any questions about this policy can be directed to IRI’s Chief Legal & Regulatory Affairs Officer.
